5 Reasons To Book Local Event Suppliers Near Your Venue

September 10, 2016

When you organise your corporate event, there are many items that you need to buy, borrow or hire for your big day.

Do you know how far you have to travel to collect these items - or have them delivered?

Here are five reasons to map where your suppliers are based to enjoy an easier, stress-free day.

Check out this free mapping tool that lets you see how far away your suppliers are.

The "X" marking the spot is the Sandringham Yacht Club. The first circle shows a radius 2.5km, the next is 5km and the largest is 10km away - all of which can be reached quickly if you're in a hurry.

There was an elegant nautical-themed event at the Sandringham Yacht Club which was 1.4 km from us as the crow flies. The stylist had hired 100 sets of gold cutlery for the guests in January. These were delivered on Friday 17 February.

On Saturday 18 February, I received a frantic call from the stylist that the organiser had nine extra guests RSVP at the last minute and she needed 9 more sets of gold cutlery.

These were quickly delivered but it made me think how much easier and cheaper it is for you to book event hire suppliers who are based near your event venue space.

1. You can reach them fast
I had only one hour's notice to supply them with nine more sets of gold cutlery before the guests arrived. Imagine if their venue had been across the city, with say a traffic jam. What a disaster that would have been.

2. Delivery costs are far cheaper
If suppliers don't have far to travel to deliver to and collect from the venue, their delivery fees are very low or sometimes even free. And of course it is easy for you or one of your staff members to collect from the nearby event hire supplier at no cost at all.

3. Suppliers know each other
If something goes haywire, working with local suppliers means they often know each other as well as their local competitors. They can not only recommend nearby suppliers if something changes or someone becomes unavailable at the last minute, but they can literally, come to your rescue quickly.

4. Good for the community spirit
A corporate event which uses a local decor hire company, florist, cake maker, calligrapher or signwriter, photographer, DJ, MC and venue, for example is not only easier to manage, but because everyone is local, they want to work with each other and will strive to make it a seamless, enjoyable experience.

5. Good for the environment
There's less area to drive, therefore less petrol is consumed, and less carbon monoxide goes into the atmosphere.
